Admin Officer

Position Overview

The Administrative Officer is responsible for the strategic management and daily execution of school operations. This role serves as the backbone of the school’s non-academic functions, ensuring that the physical environment, logistics, and support services—including transport, security, and dining—operate seamlessly to support student learning and safety.

Key Responsibilities

 Day-to-Day Operations & Logistics

  • Operational Oversight: Manage the daily administrative rhythm of the school, ensuring all departments (office, maintenance, and support staff) function efficiently.

  • Inventory & Resource Management: Maintain a systematic inventory of school assets, including furniture, IT equipment, and general resources.

  • Stationery & Supplies: Oversee the procurement, storage, and distribution of stationery and classroom materials to ensure staff and students have the necessary tools.

  • Facility Management: Supervise the upkeep of school buildings and grounds, ensuring all facilities are clean, functional, and well-maintained.

Transport & Security

  • Transport System: Manage the school’s fleet and transportation logistics, including route planning, driver supervision, and ensuring the timely and safe arrival of students.

  • Security & Safety: Oversee the school's security personnel and protocols to maintain a safe campus environment. Ensure strict adherence to safety and child protection policies.

 Kitchen, Dining & Vendor Relations

  • Dining Services: Supervise the kitchen and dining hall operations to ensure meal quality, hygiene standards, and efficient service for students and staff.

  • Vendor & Outsource Management: Serve as the primary point of contact for external vendors and outsourced agencies; handle negotiations, service contracts, and quality control.

 Event Management

  • Logistical Support: Provide comprehensive administrative and logistical support for flagship events such as Annual Day, Sports Day, and exhibitions.

  • Venue & Procurement: Handle venue bookings, equipment setup, and procurement of materials required for school-wide activities.

 Communication & Reporting

  • Stakeholder Engagement: Maintain professional and timely communication with parents and students regarding operational matters, transport updates, and school facilities.

  • Financial Administration: Develop and manage budgets for administrative departments, ensuring efficient fund allocation and cost-effectiveness.

  • Reporting: Maintain accurate operational records and documentation for regular reporting to the Vice-Principal or Principal.

Required Qualifications & Skills

  • Education: Master’s degree or equivalent from a recognized university

  • Experience: A minimum of five years of current, full-time experience in an administrative or leadership role (e.g., Coordinator, Academic Head, Vice Principal) within an educational setting.

  • Organizational Mastery: Exceptional time-management skills and the ability to handle multiple operational tasks simultaneously.

  • Leadership: Strong interpersonal skills to manage diverse teams of support staff, drivers, and security personnel.

  • Problem Solving: A systematic thinker capable of troubleshooting logistical challenges under pressure.
