Position Overview
The Front Desk Officer at Imperial World School (IWS) serves as the first point of contact for parents, students, staff, and visitors, and plays a vital role in creating a welcoming, safe, and professional school environment. The officer represents the school’s values of Respect, Integrity, Responsibility, Compassion, Excellence, and Adaptability through courteous communication and efficient administrative support.
This role requires strong interpersonal skills, organization, and the ability to manage school communication, visitor coordination, and basic administrative operations while ensuring a positive experience for all stakeholders.
Key Responsibilities
Reception & Visitor Management
- Greet and assist parents, visitors, and students politely and professionally.
- Maintain the visitor logbook and issue visitor passes.
- Coordinate appointments with school leadership (Principal, Vice Principal, Admin, Admissions).
- Provide accurate information regarding school programs, procedures, and policies.
- Ensure all visitors follow school safety and safeguarding procedures.
Communication Handling
- Answer and manage incoming phone calls and emails professionally.
- Redirect queries to appropriate departments (Accounts, Admissions, Academic, Transport).
- Maintain proper records of inquiries and follow-ups.
- Communicate notices and urgent messages to teachers and staff.
Admissions & Parent Support
- Guide prospective parents regarding admission procedures.
- Provide admission forms and explain the required documents.
- Coordinate school tours for prospective families.
- Support the admissions team during peak admission periods.
- Maintain inquiry database and parent contact records.
Administrative Support
- Maintain student attendance records (daily late arrival & early departure log).
- Manage courier dispatch, letters, and document collection.
- Assist in organizing school events, parent meetings, and PTSA interactions.
- Coordinate lost-and-found items and student pick-up records.
- Support documentation and filing systems.
School Operations & Coordination
- Coordinate with transport, security, and accounts departments when required.
- Monitor entry/exit flow during school hours.
- Assist in emergency communication when necessary.
- Maintain front office cleanliness and organization.
Required Qualifications & Skills
- Bachelor’s degree (preferred: Management, English, Hospitality, or related field)
- Excellent spoken and written English and Nepali
- Strong communication and interpersonal skills
- Pleasant personality and professional etiquette
- Computer proficiency (MS Word, Excel, Email, Google Workspace)
- Ability to multitask and handle pressure during busy school hours
- Prior experience in school, office administration, or customer service preferred
